Owners of clinics, salons and studios ask the same question when they hear about AI receptionists: will it sound like a robot and annoy my clients, or will it actually help?
The honest answer is that it depends on what you ask it to do. It is very good at some jobs and should never touch others.
What it does well
- Answers at any hour. Evenings, weekends, lunch breaks and the moment three calls arrive at once.
- Handles the repeat questions. Opening hours, location, parking, how a first visit works, which services you offer.
- Books into your real calendar. It offers actual open slots and confirms them, so nobody waits for a callback.
- Collects the basics. Name, contact details and what the person needs, so your team starts the conversation prepared.
- Follows up. A missed call gets an instant text. An unanswered enquiry gets a polite nudge the next day.
What it should not do
- Give clinical, legal or financial advice. Anything that depends on a qualified person's judgment goes to that person.
- Handle complaints or upset clients. These need a human voice and some authority.
- Decide on pricing exceptions or refunds.
- Manage emergencies. If someone describes an urgent situation, it should hand over immediately and show your emergency number.
How to set it up safely
- Write down what it is allowed to say. A short, accurate knowledge base: services, hours, policies, how booking works. It should not guess outside it.
- Define the hand-off rules. Which topics, words or situations move the conversation to a person, and who gets notified.
- Tell people they are talking to an assistant. Clear and friendly, not hidden.
- Test it with real questions. Ask what your clients actually ask, including awkward ones, before it goes live.
- Read a sample of conversations every week at the start and fix the gaps you find.
How to tell whether it works
Watch three things: how fast people get a first reply, what share of enquiries turn into booked appointments, and how often the assistant had to hand over. A rising booking rate with a steady hand-off rate usually means it is helping. Many hand-offs on the same topic means the knowledge base needs a fix.
Start small
You do not need to automate everything on day one. Begin with missed-call text-back and the five most common questions, then add booking and follow-up once you trust it.
At Reaxo we set up an AI receptionist inside one CRM and automation platform, connected to your calendar and with clear hand-off rules, so your team handles the conversations that need a person. If you want to see how it would work for your business, we offer a free audit at reaxo.tech.
