Audit Your Own Enquiry Process in 30 Minutes (No Software Needed)

Most appointment businesses do not lose clients in one dramatic moment. They lose them in small gaps: a call that rang out, a message that waited until Monday, a form that nobody checked. You can find those gaps yourself in half an hour, and you do not need any tools to do it.

Step 1: Be your own client (10 minutes)

Pretend to be a new client and contact your business the way a real one would.

  • Call your main number at a time you are normally busy. Count the rings and note what happens if nobody answers.
  • Send a message through your website form and your Instagram or Facebook inbox. Write down the time you sent it.
  • Try to book online from your phone. Count the taps and the fields you had to fill in.

Step 2: Time the reply (5 minutes)

Check how long each message takes to get an answer, and who gives it. Then look at the same inboxes at 8 pm and on a Sunday. If the answer is "tomorrow" or "whenever someone sees it", that is your first gap.

Step 3: Trace one real enquiry (10 minutes)

Pick a recent person who asked about a booking and did not come in. Follow what happened to them:

  1. How did they get in touch?
  2. Who replied, and how long did it take?
  3. Were they offered a specific time, or only told to call back?
  4. Did anyone follow up when they went quiet?

Do this with three people and you will usually see the same break in the chain each time.

Step 4: Write down the three biggest gaps (5 minutes)

Do not try to fix everything. Choose the three gaps that cost you the most, such as unanswered evening messages, no follow-up after a missed call, or a booking form that takes too long. Put a name next to each one: who is responsible for fixing it, and by when.

What to do with the list

Some gaps need a process change, like deciding who checks messages on weekends. Others are repetitive work that software handles well: an instant reply, a text after a missed call, reminders before a visit, a nudge to someone who has gone quiet. Fix the process gaps first, then automate the repetitive ones, so you are not automating a confusing process.

At Reaxo we build these follow-ups inside one CRM and automation platform, and we offer a free audit that looks at your own enquiry flow the same way. If you would like a second pair of eyes on your list, start at reaxo.tech.
