The rebooking rhythm: 5 messages that bring clients back

Turn a good first visit into a regular habit, without chasing anyone.

Most yoga, massage and physiotherapy studios do not struggle to get a first visit. They struggle to turn it into a rhythm. The client enjoys the session, means to come back, and then life gets in the way.

Start before they leave

The best moment to book the next visit is the end of the current one. Offer a specific time instead of "see you soon". Even "same time next week?" gives the client something to say yes to.

The messages

1. Same day

Thank you and next stepThanks for coming in today, {first name}! If you would like to keep going, here is the link to book your next session: {link}

2. A few days later

Caring check-inHi {first name}, how have you been since your {service}? If you would like another session, I can hold {day} at {time} for you.

3. When the usual interval has passed

Gentle reminderHi {first name}, it has been about {weeks} weeks since your last {service}, so it may be time for the next one. Shall I find you a slot?

4. After a few weeks of silence

Low pressureHi {first name}, we have not seen you for a while and hope you are well. If you would like to come back, here is the link: {link}. Not right now? No problem at all.

5. A question about symptoms

Hand over to the practitionerThat is a good one for {practitioner}, so you get the right answer. I have passed it on, and they will reply to you here.
Respect health boundaries

Automated messages should schedule and remind, not advise. Questions about symptoms, suitability or treatment go to your qualified practitioners. Avoid promising results.

The number to track

How many first-time clients book a second visit within two weeks? That one number tells you whether your follow-up is working. Check it every month.

The catch with doing this by hand

Remembering who is due, for every client, every week, rarely survives a busy month. Reaxo handles booking, reminders and gentle follow-up on its own, and your team keeps the personal side.
